How to write a resignation letter

A resignation letter should be short, polite and clear. State that you are resigning, your job title and your last day. You do not have to explain why, and you should never criticize your employer.

  • Tell your manager in person first, then send the letter.
  • Offer to help with the handoff.
  • Keep a copy and send it by email or deliver it to HR.
  • Ask about final pay, unused vacation and benefits.

How much notice should you give?

Most US employment is at-will: unless your contract says otherwise, you are not legally required to give notice. Two weeks is the standard courtesy, and senior roles may expect 30 days or more.

SituationTypical notice
Hourly or entry-level2 weeks
Professional role2 to 4 weeks
Executive or contractPer contract, often 30 to 90 days
EmergencyImmediate, explain briefly

Things to check before you send it

  • Contract and handbook for required notice and return of equipment.
  • Unused vacation and whether it is paid out in your state.
  • Health insurance: ask about COBRA or a new plan so you have no gap.
  • Non-compete or non-disclosure clauses that continue after you leave.

Frequently asked questions

How do I write a resignation letter?
State that you are resigning, your job title and your last day, thank your employer and offer to help with the transition. Keep it to a few lines.
Do I have to give two weeks’ notice?
Not usually by law in an at-will state, unless your contract says so. Two weeks is the professional standard.
Should I give a reason for resigning?
No. A reason is optional and can be kept short and positive.
Should I send the letter by email or print it?
Either works. Email gives a timestamp; a signed printed copy is good for HR files. Keep a copy.
Can I take back my resignation?
Only if your employer agrees. Check with your manager right away if you change your mind.
