Rent receipt maker for landlords and tenants

Kroma

A rent receipt is written proof that a landlord received rent from a tenant. It lists the landlord, tenant, property address, rental period, amount paid, payment method, date and signature. Landlords should give one for cash payments, and tenants can ask for one for any payment.

What a rent receipt should include

There is no single national form, but a useful receipt always shows the same facts so a dispute is easy to settle:

  • the landlord and tenant names and the landlord address;
  • the rental property address, including the unit number;
  • the rental period covered, from the first to the last day of the month;
  • the amount received, split into rent and other charges, and the payment method;
  • the date of payment, the balance due, if any, and the landlord signature.

When you must give a receipt

Rules depend on the state. A few examples: California requires a written receipt when rent is paid in cash, and New York requires a receipt for any payment made in cash or by a method that leaves no paper trail. Even where it is not required, a receipt protects both sides. Pay by check or electronic transfer when you can, because the bank record is proof too.

Full payment or partial payment

If the tenant pays the whole amount, the receipt says paid in full and the balance is $0.00. If the tenant pays only part, enter the amount received: the document switches to a partial payment receipt and shows the balance still due. Never write « paid in full » unless it is true.

3 real-life examples

1

A $1,450 apartment with $75 in utilities

The total is $1,525.00. The receipt for October 2026 shows the period October 1 to October 31, 2026, rent of $1,450.00, other charges of $75.00 and a balance of $0.00.

2

Twelve receipts for the year

A landlord who accepts cash selects 12 months starting in January and prints one receipt per month, each dated with the day rent was received.

3

A partial payment

A tenant owes $1,525.00 and pays $800.00 on the 5th. The landlord enters $800.00, and the receipt shows a balance due of $725.00 instead of claiming full payment.

Frequently asked questions

Is a landlord required to give a rent receipt?
It depends on the state. Several states, including California and New York, require a receipt for cash payments. A tenant can always ask for one, and giving one prevents disputes.
What should a rent receipt say?
The names of the landlord and tenant, the property address, the period covered, the amount and method of payment, the date and the landlord signature.
Can I write a rent receipt by hand?
Yes. A handwritten or printed receipt is valid if it contains the key facts and is signed. This generator just formats it cleanly.
Is a rent receipt the same as a bank record?
No, but both can prove payment. A receipt is written by the landlord, while a bank record shows the transfer. Keeping both is the safest.
How long should I keep rent receipts?
Keep them for at least the length of the lease plus three to seven years, since statutes of limitations on rent claims vary by state.
