Email signature generator

Fill in your name, job title and contact details and your signature builds as you type. Pick a layout, color and font, copy it with one click and paste it into the signature settings of Gmail, Outlook or Apple Mail. The HTML uses tables and inline styles, which work everywhere.

Adding your signature to your email app
Click "Copy signature", then paste it into your settings:
| Email app | Where to paste it |
|---|---|
| Gmail | Settings → See all settings → General → Signature → Create new, then paste |
| Outlook (Windows, web) | Settings → Accounts → Signatures → New signature, then paste |
| Apple Mail | Settings → Signatures → + , uncheck "Always match my default message font", then paste |
| Thunderbird | Account Settings → Signature text → check "Use HTML", paste the code ("Copy code" button) |
If pasting directly loses the formatting, use "Copy code" and paste it into your email app's HTML option.
Why table-based HTML?
Email apps do not render HTML like a web browser. Gmail, Outlook and Apple Mail strip or break many modern styles, so this signature uses the most reliable approach:
- tables for layout, instead of floating blocks;
- inline styles on every element, instead of a stylesheet;
- web-safe fonts (Arial, Georgia, Trebuchet) found on nearly every device;
- a remotely hosted image with fixed dimensions, because embedded images get blocked.
Keep it short: 4 to 7 lines is plenty. Beyond that, the signature takes up more room than your message.
What belongs in a professional signature?
| Element | Guideline |
|---|---|
| Name and job title | required, on the first two lines |
| Phone | one number, preferably your mobile |
| Website | your company's, as a clickable link |
| Social links | two at most, the ones you really use |
| Photo or logo | 88 × 88 px, square, light (under 30 KB) |
| Quote or slogan | skip it in a business context |
If you send marketing or commercial emails, US rules (CAN-SPAM) also expect a valid physical postal address in the message. A signature with your business address covers that.

A corporate manager
Name, title, company, direct line, mobile, address and LinkedIn. The "Minimal" layout in Arial, using the brand color: clean and easy to read on a phone.
