Invoice and quote maker for freelancers and small businesses

An invoice is a bill that lists what you sold, the price of each item, any sales tax, the total, the due date and how to pay. This generator numbers your invoice or quote, calculates each line and the total to the cent, adds optional sales tax and exports a clean PDF.

What every invoice should include
US law does not set one invoice format, but a clear invoice gets paid faster and holds up for taxes and disputes. Include:
- the word Invoice, a unique invoice number and the issue date;
- your business name and address, and the same details for the client;
- each item with a description, quantity and unit price;
- the subtotal, any sales tax and the total;
- the due date, payment instructions and any late fee.
How sales tax and totals are calculated
\[ \begin{gathered} \text{line amount} = \text{quantity} \times \text{unit price} \\ \text{sales tax} = \dfrac{\text{taxable amount} \times \text{rate}}{100} ,\ \text{rounded to the cent} \\ \text{total} = \text{subtotal} + \text{sales tax} - \text{amount already paid} \end{gathered} \]
Each line is rounded to the cent and the totals add the rounded lines, so the numbers on the page always add up. Tick « Taxable » only on lines that are taxed: services are often exempt, while physical goods usually are not, and rules differ by state.
Common payment terms
| Term | Meaning |
|---|---|
| Due on receipt | Pay as soon as you get the invoice |
| Net 15 | Pay within 15 days of the invoice date |
| Net 30 | Pay within 30 days, the most common term |
| Net 60 | Pay within 60 days, often large clients |
The due date is calculated for you from the issue date and the term you pick.
Quote or estimate before you invoice
A quote tells the client the price before the work starts. It shows a validity date, an estimated timeline and a space to sign and accept. Once accepted, copy the same line items into an invoice and switch the document type: the layout, totals and numbering stay consistent.
