Receipt maker, purchase order and delivery note generator

Kroma

A receipt proves that money was paid. A purchase order tells a supplier what you want to buy, in what quantity and at what price. A delivery note, also called a packing slip, lists the goods handed over and gets a signature on receipt. Pick the document, fill in the items and download a clean PDF.

What to put on each document

  • Receipt: names of both parties, amount, what it was for, date, payment method and the signature of whoever received the money.
  • Purchase order: PO number, date, item descriptions, quantities, unit prices, total, ship-to address, delivery date and payment terms.
  • Delivery note: number, the related order, the list of items and quantities, a checked column and the recipient signature.

How totals and sales tax are worked out

\[ \begin{gathered} \text{line amount} = \text{quantity} \times \text{unit price} \\ \text{sales tax} = \dfrac{\text{subtotal} \times \text{rate}}{100} ,\ \text{rounded to the cent} \\ \text{TOTAL} = \text{subtotal} + \text{sales tax} \end{gathered} \]

Each line is rounded to the cent before adding, so the printed total is always exact. Leave sales tax empty for private sales or tax-exempt items.

3 real-life examples

1

A private sale of a bicycle

The seller writes a $350.00 receipt « used bicycle », paid in cash. Both people keep a signed copy as proof.

2

A supplies purchase order

50 boxes at $1.20 and 200 labels at $0.05 make \( \$60.00 + \$10.00 = \$70.00 \). At 8% sales tax ($5.60), the total is $75.60.

3

A furniture delivery note

The driver prints a note with three items and quantities. The customer checks each line, writes any damage and signs on delivery.

Frequently asked questions

Is a handwritten receipt legally valid?
Yes. A receipt is valid proof of payment if it names the parties, the amount, the date and what was paid for, and the person receiving the money signs it.
What is the difference between a receipt and an invoice?
An invoice asks for payment. A receipt confirms that payment was made. Businesses often issue both for the same sale.
What is a purchase order used for?
A buyer sends a purchase order to a vendor to confirm what is being ordered and at what price. Once the vendor accepts it, it works like a simple contract.
What is a delivery note or packing slip?
It is a document shipped with the goods that lists what is inside. The recipient checks it against the delivery and signs to confirm receipt.
Do I have to charge sales tax on a receipt?
Only if your sale is taxable in your state. Many private sales and some services are not. Check with your state revenue department when unsure.
