📌 Key facts

  • To go from Excel to PDF, the tool takes .xlsx, .xls, .ods and .csv files up to 20 MB.
  • The Excel to PDF conversion runs LibreOffice Calc on the Outilix server.
  • You pick standard pages for printing or one page per sheet for a wide table.
  • Every sheet of the workbook becomes part of the PDF, in tab order.
  • The server deletes your file right after it sends the PDF, and within one hour at the latest.

How to convert Excel to PDF

  1. Pick the layout: standard pages for printing, or one page per sheet to keep a wide table in one piece.
  2. Drop your workbook into the box above.
  3. Download the PDF. The PDF includes every sheet of the workbook, in tab order.

The conversion uses LibreOffice Calc on our server. The PDF keeps displayed values, number formats, borders, cell colors and simple charts. The tool calculates formulas, so the PDF shows their results, not the formulas.

Avoid tables cut in half

With the standard layout, a table wider than a page continues on the next page, just like when you print. Three settings prevent that, directly in Excel before you upload the file:

  • Page Layout tab, Orientation: Landscape.
  • Page Layout tab, Scale to Fit: Width set to 1 page.
  • Set a Print Area to leave out columns you don't need.

Or just choose "One page per sheet": each sheet becomes a single page, as large as it needs to be.

Formats, limits and privacy

  • Formats: .xlsx, .xls (Excel 97-2003), .ods (LibreOffice) and .csv (comma or semicolon separated text).
  • Size: 20 MB maximum, one file at a time, 12 conversions per hour per connection.
  • Privacy: the file is saved under a random name, converted, then deleted as soon as the PDF is sent. An automatic cleanup removes anything left after an hour. We don't read your data and keep no copy.

Excel to PDF: set up the layout before you convert

A good Excel to PDF result starts in Excel. To convert Excel to PDF cleanly, prepare the workbook first. In fact, the PDF follows what a printout would show. So if a column spills off the page on screen, it spills in the PDF too.

  1. First, set a print area that leaves out unused columns.
  2. Next, switch the sheet to landscape if it has more than six columns.
  3. Then set the scale to fit all columns on one page.
  4. Finally, check Print Preview in Excel.

Standard pages or one page per sheet

The two Excel to PDF modes solve different problems. For an Excel to PDF job you plan to print, choose standard pages. For a table you read on screen or email, one page per sheet keeps everything in one piece.

NeedBest modeWhy
Printing on paperStandard pagesthe table follows the sheet size
A 20-column tableOne page per sheetno column falls onto the next page
One-page invoice or quoteStandard pagesyour Excel layout stays intact
Workbook with several tabsOne page per sheetone tab equals one page, easy to spot

However, a very long sheet can shrink to tiny text in the second mode. In that case, go back to standard pages.

Common mistakes when you convert Excel to PDF

  • Forgetting hidden rows: a row you hide in Excel stays hidden in the PDF.
  • Leaving formula errors: for example, a #REF! prints as is, so fix it first.
  • Sending a heavy file: because the limit is 20 MB, so delete unused pictures.
  • Expecting a Word-style layout: but a workbook stays a grid, so test the result before you send it.

These checks make every Excel to PDF run more reliable. Next, use Compress PDF if the file still feels heavy. Also, an Excel to PDF file with big images can weigh a lot. Also, merge PDF files to join several tables into one document. For plain text, try Word to PDF instead.

3 real-life examples

1

A quote to send to a client

Your quote is a 2-sheet workbook. With standard pages you get a clean 2-page PDF with the totals calculated, ready to attach to an email.

2

An 18-column CSV export

You export a CSV from your online store. With "One page per sheet" all 18 columns stay side by side on one page instead of being spread over three letter-size pages.

3

A 12-month schedule

A workbook has one tab per month. The PDF has 12 pages, one per tab, in the order of your workbook. Handy for posting or archiving the whole year.
